For auxiliaries and foundations

Drawings that survive a finance review

A hospital auxiliary answers to a foundation board, a finance office and sometimes a compliance officer. The drawing itself is the easy part — what matters is producing a record afterwards that all three will accept without a conversation.

The hard parts

What usually goes wrong

  • Finance wants documentation

Every entry timestamped, every action logged, and the full entrant list exportable to CSV. The record is a link rather than a shoebox handed over at year end.

  • Perception matters institutionally

When staff, patients and donors all enter the same drawing, the fairness of the draw has to be demonstrable rather than assumed. A public proof page settles it.

  • Volunteers rotate constantly

Auxiliary leadership turns over on a schedule. There is no spreadsheet convention to hand down and nothing to train — the next chair just signs in.

How it runs

Three steps, start to finish

  1. 1

    Share it across the system

One link for the staff intranet, the volunteer newsletter and a QR code at the gift shop counter.

  2. 2

    Draw on schedule

Run the draw at the auxiliary meeting or the foundation event. The proof publishes with the winner.

  3. 3

    Export for the file

Send the entrant list and results link to finance. The documentation is done the same day.

Every draw ships with its own proof

The winner and a SHA-256 hash of the draw publish together. Anyone can re-run the computation and confirm the same name comes out — no one has to take your word for it.

Questions

Healthcare foundations, specifically

What documentation comes out of a drawing?
A timestamped audit trail of every entry and action, a public results page with the cryptographic proof, and CSV export of the entrant list on an upgraded raffle. That covers what a finance office normally asks for.
Can staff and donors enter the same drawing?
Yes, and this is exactly where a verifiable draw earns its keep — nobody has to wonder whether the outcome was influenced. Whether your institution permits staff entry is a policy question for you rather than a software one.
How long are results retained?
Indefinitely. A completed raffle keeps its public results and verification page, so a drawing from a previous fiscal year can still be produced on request.
Do we need a subscription?
No. Drawings up to 100 entrants are free. Larger ones are a one-time $25 per raffle, which adds unlimited entrants, CSV export, multiple winners, new signup alerts and payment reminder emails.
